Add a note to an appointment

Adding notes to appointments in the system offers a valuable tool for enhancing communication and efficiency within your team. These notes are visible to everyone with access to the account, ensuring that all relevant staff are aware of important details pertaining to a specific booking. This feature is particularly useful for recording information that might impact the appointment or provide helpful context for the team.

Here are some example where you could use appointment notes :


Track Payment Information: Record reminders about outstanding payments, payment arrangements, or specific billing instructions.

Highlight Client Needs/Preferences: Note if a client is particularly nervous and might require a more gentle approach, has specific preferences for their service, or has any sensitivities.

Anticipate Potential Delays: If you know a client is often late or has a long travel time, a note can alert staff to this possibility, allowing them to adjust accordingly.

Document Specific Instructions: Include details about special requests, unusual circumstances, or anything that deviates from a standard appointment.


How to add an appointment note

  1. Open the Booking Panel: To begin, simply click on the desired appointment within your schedule. This will open the booking panel, which displays all the details related to that specific appointment.

  2. Enter Your Note: Within the booking panel, you will find a designated 'Notes' section. Type your relevant information into this field. Be concise yet clear, ensuring that anyone reading the note can easily understand its purpose. Once you have entered your note, remember to save the changes to ensure it is permanently attached to the appointment.

  3. Quickly View the Note: For quick access and at-a-glance information, a small note icon will appear directly on the appointment block in the schedule once a note has been added. Clicking on this icon will instantly display the note, allowing you to review the details without needing to open the full booking panel again. This feature is particularly useful when you need to quickly recall important information while navigating your schedule.
